You can access ESR using your home device via https://my.esr.nhs.uk. You will need your ESR username and password to log in. Please click here to find out how to obtain this information. If you are using your mobile phone you will need to download the ESR app from the app store and then use your ESR username & password.

We are sorry but we cannot provide IT assistance when you are accessing ESR from a non RUH device. We would advise that you carry out a PC check on your computer . Please click here. Also, ESR can also be accessed on a smart device such as a tablet or smartphone and does not require a PC check to be performed. Download the My ESR app from your app store.

Click on the Portal Button (with a globe icon) to return to the homepage. Do not use the browser back button as this may cause the portal to function incorrectly.

Each month a supervisor hierarchy report is issued to the designated manager(s) within your area. They will need to record any supervisor or additional supervisor changes on this report and return to specified email address. The Workforce Team will then action these changes.

If you had access to supervisor self-service you would have access to confidential staff information that only a line manager is allowed to see.

At the moment you can only access supervisor self-service on an RUH enabled computer using your Smartcard. We are currently investigating this issue with the RUH IT team and the ESR national team.

Yes you will need to have your personal username and password to be able to access your information and these are unique to you. This compares favourably to paper payslips which can easily be misplaced or accidentally picked up by the wrong person.

If you are a Smartcard user, prior to you going on maternity leave, you will need to ensure you know your ESR Username and password to access ESR remotely. Please see the main document on Employee Self-service which takes you through the steps to access the portal.

No, your ESR account is attached to the organisation you work for, so you will not be able to access your electronic payslips once you leave the RUH. You are therefore advised to save any copies of payslips or P60s that you may need before you leave.

The ESR appraisal functionality is designed so the complete appraisal can be recorded (not just the date). This does not currently fit with the RUH appraisal requirements so by clicking through screens you are bypassing this.

No. When you add the appraisal details to an employee's record in ESR, their HR record will automatically update.

You will need to inform the supervisor of the individual you appraised to update ESR for you.

This could be for a number of reasons.

1. Have you recorded an appraisal in ESR in the last day? If you have you will need to wait up to 24 hrs for your compliance gauge to update as ESR updates overnight.
2. Is your appraisal up to date? The compliance gauge represents your hierarchy and includes yourself. (You will be in your managers' hierarchy as well).
3. Has a new starter recently joined your hierarchy? After 3 months they will show in your compliance. All new starters are required to have an induction appraisal as part of their local induction and we would like you to record this in ESR (previously we have not collected this information).

You are the only person that can see your direct report(s) appraisal documentation. If your team member moves to another team then the appraisal data including documentation moves with them.

Each appraisal completed generates a new line within ESR and the system is unfortunately not able to differentiate between an appraisal completed earlier than scheduled and potentially a separate review that might have taken place for an individual. Because of this it will create notifications for any lines generated that have next appraisal dates due within 4 and 1 months respectively. We understand this could lead to some confusion for line managers who have completed the appraisal sooner than the specified next appraisal date, but as long as the input appraisal is within the completed section of the self service area, the record will be updated.
