Employment Checks

In order for you to start with the Trust, you must meet the NHS Employment Checks Standards that the Trust is required to undertake for all staff.

We are also need to see a document confirming your other name(s) that you use. You need to provide evidence of the change/link such as an original marriage, deed poll document or an affidavit endorsed by a solicitor.

Unfortunately we can't accept print outs from the web site. However we can witness you log in and verify online statements. If you will need to do this, please bring with you any login details that you will need to access your online account. Alternatively, you can ask your bank to print and verify a statement with your address on.

We will need to see the original documents together with an official English translation document. We cannot accept translations that have been done by yourself.

Criminal convictions

Each country holds it's own records of criminal convictions. Criminal convictions in the UK are checked by the Disclosure and Barring Service (DBS).

DBS

All Doctors require an enhanced DBS check including checks against both the Children's and Vulnerable Adults Barred Lists. The Trust accepts previous DBS checks carried out by other employers (known as portability) where it is at the correct level. If you have a certificate that meets the following criteria, please bring the original certificate with you when completing your employment checks.

If you are registered with the DBS update service, you will still need to provide the original certificate to us.

  • Enhanced check
  • Includes checks against both the Adults and Children's Barred Lists
  • Checked against the Adult and Children workforce
  • Issued within the last 3 years

If you do not have a DBS that meets the criteria, you will need to complete a new DBS check. All new starters at the Trust will need to pay for the full cost of the DBS check (including Doctors coming to the Trust on an honorary contract). The current cost of an enhanced check is £49. If a new check is required, you will complete an online application form and an authorisation form to have the cost of the check deducted from your salary in either one or four instalments. If you leave the Trust during this repayment period any outstanding amounts will be deducted from your final salary.

You will receive your green DBS certificate in the post, which is yours to keep.

We will receive an online notification of the check but we may need to see your DBS certificate before you start with the Trust. If this is the case, we will contact you directly and you will not be able to start at the Trust until we have seen this.

DBS update service

If you need to complete a new check, we strongly recommend that you register and join the DBS Update Service. Registrations can be made at the same time as the DBS check application is made or within 19 calendar days of the DBS Disclosure check certificate being received.

Have you spent more than 6 months living and working in another country in the last 5 years?

You will need to provide a police clearance certificate from the country/ies where you lived and worked in addition to your DBS check. If the certificate is not in English, you will need to organise a third party translation.

This does not apply if you have been travelling through multiple countries and not living in one fixed country for more than 6 continuous months.

Declaration Statement

As a Doctor, your post is exempt from the Rehabilitation of Offenders Act 1974 (as amended in England and Wales).

As part of the Trust process for assessing your character and suitability for any such appointment, it is legally permitted to ask for and consider any information relating to unspent (current) and spent (old) criminal convictions, police cautions, final warnings or reprimands which are not protected (or filtered out) by the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2013.

Therefore can you please complete the declaration statement attached to your email and return it back to us for this purpose.

Health clearance

Attached to your conditional offer email is a work health assessment (WHA) form. Please return this form via email to ruh-tr.occupationalhealth@nhs.net as soon as possible as this can take some time to complete.

Please also include copies of your vaccination records which are:

  • Mumps Measles and Rubella
  • Chickenpox (Varicella)
  • TB
  • Childhood Immunisations (Polio, tetanus, diphtheria)
  • Hepatitis B and C
  • COVID-19 vaccination status

All vaccination records must be certified by a British accredited laboratory.

Once the Trust's Occupational Health Department have reviewed the documentation you have provided they will contact you directly if they need further information or if you need to have an appointment. It is essential you attend appointments on the date and time agreed to ensure that you have full health clearance in order for you to conduct your work safely.

Identity

In order to verify your identity we are required to see in total three documents that can confirm your identity, details of documents that can be accepted are listed in your conditional offer email.

Qualifications and professional registration

It is a requirement that you are registered with the GMC with a licence to practice and/or the GDC if applicable for the duration of your contract with the Trust. When registering with the GMC and GDC, your degree and primary qualification will have already been verified so we do not need to see evidence of this.

Revalidation

Doctors in Training (DiT)

Your revalidation body will be Health Education England.  More information can be found here DiT Medical Revalidation

Trust Doctors/Clinical Fellows/SAS Doctors/Consultants

The RUH will become your responsible body unless you decide to choose an alternative body (i.e. HEE if you intend to return to a training post). If you want the RUH to become your responsible body, your previous Trust will be asked to complete a revalidation form when you commence employment at the RUH. This will provide the information required during current revalidation cycle so that the Responsible Officer can make a recommendation to the GMC.

Further information on medical appraisal and revalidation can be found on the Medical Revalidation pages on the Trust intranet (you need log in via the Trust network to access the intranet).

Upon leaving the Trust we will share information with your new Responsible Body to enable them to make a recommendation to the GMC at the appropriate time.

References

When joining the Trust we may ask for references as follows:

  • If you joining the NHS for the first time, or have had a period of time outside of the NHS, we will verify your work or study history for the previous 3 years or back to your last NHS employment (whichever is most recent). If there are any gaps of employment we will ask for details
  • If you are an external candidate from another NHS Organisation, we will obtain a reference from your previous NHS employer
  • If you are a Doctor or Dentist in Training and are rotating to the Trust as part of your existing programme, no references will be required
  • If you are a Doctor or Dentist in Training and are new to your Training Programme we will require a reference from your previous Trust

Right to work

This can be demonstrated by providing a UK passport or valid visa document with the right to work in the UK. You may be able to view your immigration status online using a share code:

It is a legal requirement for the Trust to hold verified documentary evidence of an employee's right to work in the UK. Unfortunately, we cannot accept copies, verified copies or notarised copies.
